Sending emails to multiple recipients

Learn how to send emails to multiple people at once in Coffee using templates or custom messages to streamline your outreach.

Sending emails to multiple recipients

Send an email to two or more people at once from People. You can send each person their own personalized email, or send one shared email that all recipients receive together.

  1. Go to People in the left-hand navigation menu.

  2. Select the checkbox next to each recipient you want to email.

  3. Click Actions in the top right corner of the screen.

  4. Select Send email from the dropdown list. The Compose Email window opens.

  5. In the To field, click the dropdown and choose how Coffee sends your email:

    • Sending individual emails to [number] recipients: each recipient gets their own email. This is the default.

    • Sending one email to [number] recipients: all recipients get a single email and see each other.

  6. Type your email message manually, or click the Choose a template dropdown to use a saved email template.

  7. To personalize your message, click {} Insert Variable in the email composer.

  8. Select a field from the dropdown menu to insert a dynamic placeholder:

    • Contact Fields: Use these to pull recipient data like {{first_name}}, {{company}}, or {{location}}.

    • Sender Fields: Use these to pull your own information, such as {{sender_name}} or {{sender_company}}.

  9. Type your message using the variables you want. Coffee replaces each placeholder with the correct data.

  10. To add Cc or Bcc recipients, click Cc or Bcc to reveal the field. To change how a recipient receives the email, drag their name between the To, Cc, and Bcc fields.

  11. Click Send email to deliver your email. To finish it later, click Save Draft. If your Google account is connected to Coffee, you can also click Open in Google Workspace to continue and send the email from Gmail.

What's the difference between sending individual emails and one email?

The dropdown in the To field of the Compose Email window controls how Coffee delivers your message to the people you selected.

  • Sending individual emails: Coffee sends a separate email to each recipient, so you can personalize each one with variables. This is the default.

  • Sending one email: Coffee sends a single email to all recipients, and every recipient sees who else received it. Use this when the group should see each other, such as a project team.

Cc and Bcc work with both options. Personalization variables also work with both options.

When does the sending option appear?

The dropdown appears when your email has two or more recipients. If you email one person, see Sending an email.
