Managing the reporting structure

Assign who each teammate reports to, so their manager can see their emails, meetings, notes, tasks, and open deals based on your visibility settings.

Managing the reporting structure

Coffee uses your reporting structure to power the Participants plus manager(s) visibility option — giving managers visibility into their reports' activity without opening it to the entire workspace. It also gives managers a running list of each direct report's open deals, right in the Deals section.

Set a teammate's manager

  1. Click Settings.

  2. Select Teammates.

  3. Find the teammate whose manager you want to set.

  4. Click the Reports To dropdown in their row.

  5. Search for and select their manager.

Each teammate can have only one manager.

View a direct report's deals

Once you set a teammate's manager, Coffee automatically creates a list of that teammate's open deals for their manager.

  1. Click Deals on the left sidebar.

  2. At the top of your Deals list, find the list named [Teammate]'s Open Deals — for example, Sarah's Open Deals.

  3. Click the list to open it.

This list shows deals still in an active stage — it doesn't include deals marked closed-won or closed-lost.

ℹ️ If you use the Salesforce integration, this list appears alongside — not instead of — the "My Team's Deals" list generated from your Salesforce reporting hierarchy. 👉 Related: Integrating Salesforce to Coffee

Remove a teammate's manager

  1. Click Settings.

  2. Select Teammates.

  3. Click the Reports To dropdown for that teammate.

  4. Clear the selection.

⚠️ Removing a teammate's manager immediately resets that manager's visibility into the teammate's emails, meetings, notes, and tasks. The former manager can no longer see content that was visible to them under the Participants plus manager(s) setting. It also removes the [Teammate]'s Open Deals list from the manager's Deals section.
